The Office Administrator is a full-time, in person role that supports the Peninsula Sinai Congregation staff, clergy, and the Board of Trustees to carry out administrative tasks, manage the synagogue’s calendar, and act as a point of contact for congregants. The Office Administrator will follow best practices in office policy and organization, and address day-to-day challenges as they arise.
Job Responsibilities:
Office and building
- Serves as office receptionist, including answering phones, greeting visitors, and managing incoming and outgoing mail
- Schedules and communicates with vendors, contractors, and janitorial services
- Maintains and updates data filing systems, membership records, and hallway events screen
- Coordinates scheduling with building tenants and ensures appropriate building setup and room usage
- Helps identify office and building needs, and is responsive to immediate issues
Organizational support
- Coordinates and maintains consistent communication channels with other office staff, education director, and clergy
- Maintains synagogue calendar including programming, lifecycle, holiday, and community events
- Supports synagogue programming; may include creating back-end forms and managing rsvp lists, working with vendors to make event-specific purchases, providing logistical assistance, coordinating volunteers, etc.
Communications
- Serves as a point of contact for organizational or administrative questions from community members
- Develops and distributes publications and outbound communications, including composing and sending weekly updates to synagogue membership with review and guidance of clergy and/or Board
- Updates website and PSC social media accounts
Desired Knowledge and Skills:
- Able to work on site and have has flexibility to support occasional special programming on a weekend or evening
- Highly organized with strong attention to detail and quality; comfortable taking initiative and also taking direction
- Very friendly and warm while maintaining strong professionalism; enjoys working with diverse community
- An open, transparent, and proactive communicator with all stakeholders
- Comfortable working within a Jewish community including following appropriate synagogue practices (e.g., head covering for men, kosher food, etc.)
- Knowledge of data and administrative management practices and procedures
- Experienced with Google Workspaces Apps and able to self-train in new computer skills
- Prior experience working with ShulCloud platform desired but not required
- ≥3 years of experience in office administration and experience in the requisite skill areas outlined above
Bookkeeping experience, marcomm experience (Canva) a plus..
