Ohr Kodesh Congregation seeks a Ritual Administrator, who will serve the ritual and life-cycle needs of our growing community. This position requires someone who is exceptionally personable, self-motivated, and collaborative with other staff. This person must be tech savvy, friendly, organized, and ready to learn. Since this position sits in the reception area of the clergy suite, this person will be serving in a receptionist capacity some of the time, and must be willing to work in a bustling, social, sometimes busy environment.

The primary responsibilities of this position are managing, with the Cantor, all aspects of the B’nei Mitzvah process from pre-B’nei Mitzvah, supporting programming, scheduling dates and lessons, through teen ritual engagement. Other aspects of this position will include helping to maintain our minyan/religious service logistics, communicate with ritual participants, and musical event support as needed.

The Ritual Administrator serves as the primary administrator for the Cantor. The core hours for this full-time position are 10 AM to 6 PM Monday through Thursday, and 10 AM to 2 PM on Fridays, and periodic flexible weekend and/or evening hours will also be scheduled as needs arise. Work will be mostly in-person at Ohr Kodesh Congregation.

Reception & Correspondence
Serves as Clergy Receptionist, answering phones, greeting students or guests, and periodically answering questions for individuals who come in during work hours.
Schedules appointments for members of the community who wish to meet with the Cantor.
Assists the Cantor in timely communication with members of the Congregation.

B’nei Mitzvah

  • Schedules weekly appointments for the Cantor, Rabbi, and other tutors.
  • Manages administrative needs of supplemental b’nei mitzvah tutors, including payroll
  • Assigns B’nei Mitzvah Dates, in collaboration with the Cantor
  • Mitzvah Scholars and Chesed Corps Planning and Communication
  • Includes Trop Class logistics
  • B’nei Mitzvah Weekend Logistics
  • Services Logistics
    Rentals - Friday Dinner, post-Shabbat in conjunction with the Facilities Manager.

Services

  • Calculates service times – minyan times, Shabbat times, etc. – for the year
  • Communicates with Daveners, Leyners, and Gabba’im, (Ritual Participants) to confirm participation, develop weekly Shabbat - Rosters and maintain the participant database (TorahReaders.net).
  • Helps to contact members of Ohr Kodesh to assign honors for Shabbat and holidays
  • Manages Minyan Duty, Minyan Captain, and Usher rosters, in conjunction with a Volunteer Coordinator (currently Sharon G-K).
  • Maintains Yahrzeit database, and manages automation of Yahrzeit emails and/or letters.

Other Ritual Administration
As needed, helps to coordinate logistics for Birth Rituals, Weddings, and Funerals in conjunction with the Clergy, Communications Manager, and Facilities Manager, serving as a liaison between these.

Periodic Music Event Support
OKC has 2-3 major Musical Events per year. Administration assistance as directed by the Cantor.

Candidate Experience:

  • Entry Level candidates – particularly those curious about careers in Jewish communal and clergy leadership – are encouraged to apply. On-the-job training is included!
  • Working knowledge and awareness of the Jewish calendar, including the annual cycle of Torah reading and Jewish rituals and life cycle events.
  • Experience working in a busy receptionist-like environment is a plus.
  • Must be tech-savvy, with a working knowledge of basic Microsoft suite and Google Drive, experience or trainability on Asana, Dropbox, AcuityScheduling, Spark, and ShulCloud.
  • Organization and prioritization are the core elements of the Ritual Administrator’s responsibilities; must know how to keep yourself and others organized, and how to determine which tasks are most important on a given list.
  • Detail-oriented; documents and emails must be edited precisely without type errors, dates and times must always be accurate and consistent across documents.
  • Must be able to exercise discretion with regard to confidential matters between clergy and congregants.
