Executive Director/Financial Director, Temple Emanu-El
Function
The Executive Director/Financial Director serves as the chief administrative officer of the congregation in accordance with the principles, guidelines and objectives set forth by the Board of Directors and the By-Laws of the Temple. The Executive Director is responsible for the implementation of the policies of the Board of Directors. He/She provides the day-to-day management of Temple fiscal and administrative affairs and has direct supervisory authority over all administrative, clerical, and building maintenance personnel.
Relationships
The Executive Director/Financial Director takes direction from and is accountable to the President of the congregation, the Chairman of the Board of Directors, and the Board of Directors.
Principal Duties
Under the general direction of the President of the congregation (as well as other officers and chairs of the appropriate committees), the Executive Director/Financial Director is responsible for assuring the performance of the following functions either personally or through his/her staff.
Office Management
– Supervise all staff other than clergy;
– Assist in hiring and firing all such staff;
– Develop job descriptions, document and evaluate performance, and manage salary administration of all staff;
– Develop and implement office policies and procedures;
– Train new staff and oversee the continued training of current staff;
– Supervise all office systems; and
– Supervise the day-to-day operations of the Temple office.Religious Services
Provide administrative and logistical support required for the effective management of all Shabbat and life
cycle events, High Holy Day services, and festivals (High Holiday Tickets, Honors, Seating).Membership
– Provide initial contact with prospective and new members, offering information on services, programs, and dues structure;
– Maintain accurate membership records which reflect all pertinent data as to individuals and families (All Chaverware);
– Assist in planning strategies for growth and membership retention; (creating all membership reports)
--Process membership applications and related documents; and
--Billing and collection of dues (including all payment processing)Board Meetings and Committees
– Schedule and send all correspondence for Meetings;
– Serve as a resource and liaison between committees;
– Help staff committees and assist with the planning and implementation of their programs; and
– Attend special committee meetings as warranted.Fundraising
– Assist in the development and supervision of all fundraising events, mailings, materials, and initiatives;
– Assist in the development and management of capital campaigns, if any;
– Play an active role on the Steering Committee for any capital campaign;
--Assure that records in database are complete and correct;
--Acknowledge donations, payments on pledges, and payments of membership dues; and
--Engage in donor research and cultivation as warranted.Program Coordination, Calendar Development and Life Cycle Events
– Oversee scheduling of activities for all Temple and outside groups; Including attendance, outreach, parking, etc.
--Oversee agreements with the individuals for life cycle events and with groups for rental of the facilities;
– Supervise the pre-planning of year’s activities; and
– Provide the administrative and logistical support required for the effective administration of events.Property and Equipment
– Supervise the Property Manager, who has direct responsibility for:- maintaining the property in good condition by authorizing necessary repairs, replacements and maintenance;
- making recommendations to the Board when extraordinary expenditures are required;
- Providing on-site supervision of repair, grounds maintenance, renovation and expansion projects;
- developing and implementing a program of preventive periodic maintenance;
- monitoring utilities usage and identify areas for improvement and corrective action.
- negotiating, with Board approval, appropriate insurance protection for the building and its contents;
- obtaining competitive bids for services, projects, and contracts, as appropriate.
--Make recommendations to the Board when extraordinary expenditures are required.
Purchasing
– Serve as the central purchasing agent assuring cost effectiveness;
– Monitor all expenditures.Fiscal
– Assist the Treasurer in maintaining fiscal records and presenting monthly and annual financial reports;
– Ensure the preparation of the annual budget;
– Ensure the collection of dues; and
– Survey and make recommendations on dues and fees
– All Bookkeeping Duties – Receivables and Payables (all inclusive) through RDC (City National, Chaverware, and QuickbooksRepresentation of Synagogue
– Serve as a liaison between the Congregation and the Jewish community and Jewish communal organizations in order to promote Temple Emanu-El; and
– Maintain ongoing contact with the local media.Communication
– Actively process all Temple publications (i.e., bulletin, newsletter, mailings, directory, etc.);
--Process all email blasts, blogs, Facebook postings, and twitter feeds; and Instagram posts and feeds.
--Supervise and update website content.Temple Records/Archives
Ensure maintenance of various Temple records, e.g. membership data, newsletters, minutes, and all historical
and archival records.Security
--Ensure security of the premises in conjunction with law enforcement;
--Provide supervision to security personnel to the extent that they are employed by the Synagogue; and
--Ensure confidentiality and privacy of all written and electronic records related to membership and finances.Other
--All other duties as assigned.
