Office Manager needed at Congregation HTAA, Silver Spring, MD

Conservative, warm, and friendly Synagogue in Montgomery County, Maryland seeks an Office Manager who will work closely with the Staff, Clergy, Board, and Congregation to manage the daily administration of the Synagogue.
INTRODUCTION: The Office Manager assists with the day-to-day administrative operations of the synagogue and reports to the Director of Operations. The Office Manager position handles all front and back-office tasks including donations processing, database management, and public communications (phone, print and electronic). Knowledge of Jewish Holidays and Customs is helpful. Part-time schedule and the ability to leave early for Shabbat preparations available.
A successful candidate must be:
• Excellent with computer proficiency (including Microsoft Word, Excel, and Outlook at a minimum)
• Excellent in oral/written/interpersonal communication skills.
• Able to work well both individually and with a team.
• Well-organized, detail-oriented, motivated, and personable.
• Able to represent the synagogue in a warm, friendly, professional manner with a wide range of people including the Board, synagogue members, volunteers, vendors, and guests.
• Able to support other colleagues when needed including the Director of Operations, the Bookkeeper, and when necessary, the Program Director, Rabbi, Hazzan, Officers, Committee Chairs.
• Able to model and foster a positive work environment.
• Able to demonstrate good judgment and discretion.
Responsibilities include but are not limited to:
• Communications:
o Serve as Receptionist – includes greeting, directing, answering, and screening calls.
o Manage in/out bound communications including emails, US mail, and packages.
o Assist in creating forms, flyers, and weekly emails.
o Responsible for correspondence including congregational mailings, Yahrzeit reminders, Yizkor Book, and High Holy Days mailings, thank you notes, donor acknowledgements, and Rabbi’s correspondence.
o Write and/or edit others’ work for accuracy, clarity, and impact.
o Manage website-upload event flyers and update information as needed.
• Database Management:
o Ensure that ShulCloud information is current and accurate.
o Create new member accounts, process membership applications, and update member records.
o Run reports as needed.
• General Office Administration Support.
o Work with our Accountant to process payments, record donations, and follow up on requests.
o Manage and maintain office and custodial supplies.
o Deliver large mailings directly to post office.
o Arrange for Bar/Bat Mitzvah gifts.
o Attend weekly team meetings and provide support and documents when needed.
o Manage and sell Scrip to congregants.
• Other projects as directed by the Director of Operations or Rabbi.
