Synagogue Clergy Office Administrator
Location: New York City, NY 10001
Congregation Beit Simchat Torah, New York’s LGBTQS Synagogue, for individuals and families, is seeking a Clergy Office Administrator. The staff person will provide administrative support for the busy Clergy/Program office. The position requires a person with strong communication skills, the ability to prioritize and manage multiple deadlines. This individual can work independently and collaboratively, as be part of a team. This is an important position that is crucial to the facilitation and success of a wide range of events that fill our calendar throughout the year. In the process, the Clergy Office Administrator must effectively manage-up (pre-emptive, trouble-shooting, problem solving skills with thoughtful attention to details. This position requires some religious Jewish background and/or knowledge and ability to read Hebrew. In addition to a Jewish background, this person must be have knowledge and understanding of the issues, needs, and interests of the LGBTQ+ Jewish communities which include Jews of color, youth, adults and families. Knowledge of the spectrum of gender identity and transgender needs and concerns. As first point of contact the position requires discretion and caring for pastoral needs guided by professional boundaries. Prior experience with LGBTQ+ Jewish programming, experience working with diverse communities and an understanding of intersectionality.
Essential Functions:
• Receptionist duties – acts as departmental gatekeeper serving as the first point of contact for the Clergy Office, manages and enforces protocols, and ensures that follow-up is completed.
• Gatekeeping, drafts correspondence, participates in meeting materials preparation, makes travel arrangements to and from various events, is highly organized as well as excellent and accurate at maintaining the calendar of the Assistant Rabbi.
• Provides administrative support to the Director of Aging Together.
• Handles the administration functions for the clergy’s pastoral work – including tracking of celebration and condolence information, filing, coordinating the ordering of necessary supplies, tracks inventory (such as for the lifecycle gifts, forms, etc). Maintains the emergency phone and contacts clergy when calls are received, schedules shivas and coordinates related Zoom information, photo montages, the ordering of flowers for the sick and pastoral meals.
• Coordination and scheduling of related office meetings.
• Compiles and documents ritual resources for past, present and future observances.
• Coordinates Shabbat Tech and monitors chat for one Shabbat per month.
• Assists with the development and creation of office materials as needed including forms, signage, Shabbat service menu, community and life-cycle e-blast notifications and small-scale mailings; emails Shabbat Zoom information.
• Provides back-up coverage for the Assistant to Senior Rabbi, the Programming Coordinator, the Services Coordinator and the Development Associate.
• Database work in Salesforce NPSP.
• Maintains the organization of the office and ritual space (onsite).

individuals and organizations.
