Begun in 1951 as Camp JCA, a program of the Jewish Community Centers Association of Greater Los Angeles, Shalom Institute became an independent 501c3 organization in 2005. We now engage thousands of people of all ages annually who represent the beautiful, rich tapestry of our community. Our signature programs are Camp JCA Shalom Overnight and Day Camps, Camp Gesher for the Russian speaking community, Sherut L’Olam Teen Leadership and Advocacy Fellowships, ShemeshFarms, along with holiday celebrations, family fun days, retreats, service days, environmental education, and community events. Shalom Institute is a member of Jewish Community Centers of North America.

We are currently operating at leased facilities throughout Southern California until our Malibu site, which was destroyed by the Woolsey Fire in November 2018, is rebuilt. Day programs and service days happen at our Malibu site and at Malibu Jewish Center and Synagogue, current home to ShemeshFarms.

Position Overview:
Shalom Institute seeks a Development Associate to provide administrative support to the Director of Development and Engagement for achievement of fundraising goals, including annual, capital, and legacy campaigns and to support marketing and communications efforts.
As the primary manager of the development database, the Development Associate oversees its use, ensures the quality and integrity of data, and creates reports that show the impact of the organization's programs because of its development efforts. This person supports donor stewardship and acknowledgement, grant writing initiatives, cultivation, fundraising and gratitude events, management of pledges, monthly, and one-time donations, event registration, and portfolio management. This position is supervised by the Director of Development and Engagement and will work closely with the entire development and engagement team.

The ideal candidate will be motivated and personable with familiarity and experience working for nonprofit organizations and with database management; will possess exceptional organizational, analytical, technical and communications skills; will be reliable, detail oriented and a team player, with the ability to manage multiple tasks accurately and in a timely fashion and will maintain confidentiality. This position requires an affinity to work both independently and collaboratively to complete tasks and achieve goals.

General Responsibilities

Gift Processing and Acknowledgment: Manage gift processing and ensure timely gift acknowledgements. This includes, but not limited to:

● Ensure complete and accurate donation and pledge information entered into the database
● Manage donation gratitude process according to gift acknowledgement plan and ensure all touch points are recorded properly in the database.
● Maintain tags on constituents
● Track campaigns and appeals for donations
● Generate end of year letters for monthly donors
● Support grant proposal preparation and grant reporting
● Track and enter non-typical donations from Benevity Donations, Matching donations, and Facebook donations making sure to note special fundraisers or steward involvement
● Support the communications efforts with donors (e.g. phone calls, emails, letter writing, and gratitude call sessions) and those being cultivated
● Support donor newsletter preparation and emails
● Member of the Development staff and lay team, attend meetings and take notes if needed
● Member of the Staff Communications Team
● Website - Review and maintain the website donation page ensuring that wording and information is up to date, information fields are relevant, and constantly improving with database integration in mind.(review, maintain)
● Events (ex. donor appreciation, fundraisers) Responsibilities may vary based upon personality of the event, but responsibilities will include providing administrative support with invitations, rsvp lists, planning and day-of logistics, follow up, donation entry and tracking, evaluation, and reporting

Database Management:

● Maintain integrity of all data inputs/outputs of Bloomerang (donor database), implementing, assessing and managing protocols and processes for access and use of database to ensure highest quality of data, efficient input, and effective reporting
● Collect and enter new data from donors using best security practices to respect and protect our donors
● Maintain database, performing regular maintenance and planning for future reports
● Set up monthly donations within Bloomerang and perform monthly maintenance as they run. Reconcile monthly donor reports, including stewardship plan status
● Generate quarterly stewardship reports
● Update constituent information as received
● Build and run frequent (daily, weekly, monthly as requested) reports on data for members of the development team and board, based on needs and benchmarking
● Participate in Bloomerang online training and webinar as requested or needed.
● Ensure normalization of data across different types of donation, campaigns, constituents, and reports
● Regularly seeking ways to improve tracking and reporting of both constituents and donations
● Segmentation of database information
● Responsible for updating the database at the start of each new year to ensure proper tracking and reporting (e.g Letterhead updates, Board member listings, campaign creation)

Additional Department Activities:

● Data and communications support related to Capital Campaign
○ Process incoming gifts and ensure that pledges and gifts unique to the capital campaign are accurately recorded and donors properly thanked, including acknowledgement letters, thank you cards/letters, and other communication via phone and/or e-mail
● Communications: help as requested with donor newsletter development, website and social media updates. Participate in communications team meetings
● Assist in preparing impact reports
● Assist in design and implementation of a development plan to meet fundraising goals, including a development calendar and action plans.
● Help develop and maintain strategies to enhance donor stewardship including the creation of donor relations materials such as an annual report and methods of donor recognition
● Assist in the research of new funding opportunities and sources
● Additional duties as assigned
● Special Projects as needed

Requirements & Skills you bring to the position

● 3-5 years of professional experience, preferably in a non-profit organization
● Prior development and/or communications experience is a plus but not required
● Strong written and oral communication skills.
● Excellent computer/database skills, willingness to adapt to new technologies
○ Experience with database management preferred
○ Working knowledge of computers – Databases, MS Word, Excel, G-Suite, CMS, Constant Contact, Social Media tools
● Excellent interpersonal skills with the ability to work collaboratively with internal and external stakeholders
● Superior organizational skills with the ability to manage tasks, prioritize multiple assignments, execute work in an efficient and timely manner, and track and manage multiple work streams at once
● Strong attention to detail
● Ability to handle sensitive and confidential information with discretion

Work Environment and Physical Requirements
This position works primarily Mon-Fri, 9 am - 5 pm with some weekends and evenings as needed. Due to safety concerns of COVID-19, this position will onboard virtually and begin working remotely, however this position will be a hybrid of remote and in person with flexibility. The health and safety of our staff is top priority. Shalom Institute’s year-round office is in Malibu on site at Shalom Institute and there will be office time required occasionally onsite.

Compensation
This is a full-time, non-exempt position with a salary range of $45,000-55,000, commensurate with experience. The Benefits package includes health and dental insurance, time off for Jewish and secular holidays, vacation time, and a defined contribution plan after one year of employment.
